Feedback session

Participants and facilitators provide feedback to each other on the outcomes and the process of the workshop. Depending on the wider project context, the next steps and any upcoming workshops are also discussed.

Organisation

  • Duration
    Short (up to 30 minutes)
  • Complexity
    Simple
  • Group size
    1 to 100 persons

This activity is suitable online.

Description Long

The feedback round promotes transparency and supports the continuous improvement of workshop formats and projects. The facilitator explains the purpose and structure of the session. Participants give their feedback in one of two ways:

  • Flash round (see also the “Flash Round” method): Each person shares a thought or impression in a single sentence, without any response or discussion.
  • Detailed feedback: Participants comment on specific aspects such as organisation, quality of outcomes, and personal benefit.

The facilitator summarises the feedback and offers a brief outlook on the next steps.

Preparation

  • Define specific questions to structure the feedback (e.g. “How did you find the working atmosphere?”)
  • Prepare a flipchart, digital tools or sticky notes to document the feedback.
  • Optionally, set a time limit for the feedback round (e.g. 20 minutes for a group of 10 participants).

Execution

  1. Explain the structure of the feedback round.
  2. Choose a feedback format based on the objective (flash round or detailed feedback).
  3. Facilitate the session, ensuring that everyone has a chance to speak and that no discussions arise.
  4. Document the feedback and provide a brief outlook on the next steps.

Hints from experience

  • If a "flash round" is used within a longer feedback session that includes a summary of results, it is essential that no comments or justifications are made during this phase, as they could lead to discussions.
